40 hours per week

Pay and Benefits:

Job Description:

This position is responsible for the day-to-day operation of the medical clinic including organizing and monitoring business operations, coordinating staff workflow, and overseeing practices in all areas of the medical clinic

Responsibilities:

  1. Manage the day-to-day operations of the medical clinic
  2. Coordinate workflow of all staff and volunteers in the Program
  3. Ensure compliance with current healthcare regulations, medical laws and ethics
  4. Oversee and coordinate staff scheduling, vacations and sick leave to ensure operational requirements are being met
  5. Oversee payroll and submission of timecards to the Fiscal department
  6. Manage the initial and subsequent credentialing and privileging of staff and volunteer providers and clinicians
  7. Maintain administrative duties in web portals used by the facility
  8. Update and oversee Heartbeat (clinic intranet) and Front Office Manuals
  9. Manage inventory, order office and medical supplies
  10. Organize and track program purchasing and donations
  11. Work with the Program Coordinator on Quality Improvement projects
  12. Attend weekly staff meetings, coordinate accurate minute taking and distribution of minutes.
  13. Work with Program staff to implement, document and monitor office policies and procedures consistent with legal, operational, and grant requirements
  14. Oversee facility cleaning, hygiene, safety, and maintenance
  15. Responsible for assessing, assuring, and improving patient satisfaction
  16. Properly document and respond to incident reports and patient complaints
  17. Assist in communication with other White Bird Programs
  18. Other general support duties as needed

 Requirements:

  1. Bachelor’s degree or Associate degree in Public Health Administration or related field, or 2+ years of experience successfully managing operational requirements in a medical environment
  2. Knowledge of accounting, data management, and administrative processes and principles
  3. Knowledge of QA/QI principles and practices
  4. Knowledge of human resource management principles and practices
  5. Knowledge of medical issues and terminology
  6. Familiarity with applicable regulations, state and federal laws
  7. Strong computer skills including MS Office Suite (Outlook, Excel, Word), and familiarity with electronic health records software
  8. Ability to work with a diverse population and a broad range of situations while maintaining a professional and courteous attitude
  9. Detail oriented
  10. Ability to work independently and to a deadline
  11. Strong oral and written communication skills
  12. Complete new employee orientation and all required paperwork
  13. A sense of humor

Preferred:

  1. Bilingual in English and Spanish
  2. Experience in working in a consensus environment
  3. Experience with NextGen EPM/EHR

Accountability:

This position reports to the Medical Program Coordinator.

 

NOTE: This position has a six month probationary period.
